Restaurant table reservations without double-booking

A notebook at the entrance and a phone that rings during service is how two families end up holding the same table at 8:30 on a Saturday.

Why double-booking happens

Reservations arrive through a phone call, a WhatsApp message, a walk-in who asks for later, and a regular who tells the captain directly. If each of those lands in a different place, no one can see the whole evening, and two promises are made about one table.

The fix is one list. Every booking goes into the same place the floor is managed, and the system refuses a second booking on a table that is already held for an overlapping time.

Hold time depends on party size

A table for two and a table for eight do not take the same time to turn. Set a standard stay for each size, so a booking blocks the table for the right window and not a flat hour for everyone.

Look at your own bills to set it. The gap between the first order and the payment on past tables is a better guide than any number you read online.

  • A standard stay for each party size, from your own bills
  • A short grace period, then the table is released
  • A cap on bookings during the busiest hour so walk-ins still have somewhere to sit

Bookings and walk-ins on one floor map

The captain should see a held table on the same floor view as an occupied one, with the booking time and name. When a held table is about to be needed, it should not be given to a walk-in who will still be eating at that time.

If bookings live in a separate app, the floor map is wrong by design. The booking has to be part of the table status.

Confirmations that guests actually read

A WhatsApp message to the number the guest booked with is read far more reliably than a call that goes unanswered. It should say the date, the time, the party size and the restaurant, and give a simple way to change or cancel.

A reminder on the day cuts the number of empty held tables. When someone cancels, the table goes back to the list at once, so it can be offered again.

  • Confirmation on booking, with date, time and party size
  • A reminder on the day
  • A cancel or change reply that frees the table immediately

What to ask of any reservation tool

Does it block overlapping bookings on one table, or only warn? Does the booking show on the live floor view? Can the guest be reached on WhatsApp from the same system that holds the booking?

If the answer to any of these is no, you have a diary with a nicer screen, and the double-booking comes back on the first busy night.

Questions people ask

How do you avoid double-booking tables in a restaurant?

Keep every booking in one list tied to the floor map, and block any second booking on a table already held for an overlapping time, instead of only warning the staff.

How long should a restaurant hold a reserved table?

Set a standard stay for each party size from your own bills, and release the table after a short grace period if the guest has not arrived.

Can restaurant table bookings be confirmed on WhatsApp?

Yes. A WhatsApp message with the date, time and party size, plus a reminder on the day and an easy way to cancel, reduces empty held tables.
