One balance, one ledger
If points live only in a WhatsApp note or a spreadsheet, a dispute will end with the guest winning and the house losing trust. The POS should hold the balance and a ledger row for every earn, redeem and reversal.
Opening balances for guests who already had informal credits belong as a named opening entry — not as a silent edit to a number.
Earn after the guest actually paid
Earn on the amount that survived discounts and points — not on the list price before anybody took anything off. Spending points should not earn points again on the same rupees.
Decide whether earn is on pre-tax or post-tax and stick to it. Changing the rule mid-month creates two classes of regulars and an argument at the till.

- One redeem per bill, within a maximum percent of that bill
- A full refund reverses the bill's points; a partial refund leaves them unless you choose otherwise and write it down
Make the rupee value obvious
Guests forgive a modest earn rate if they know what a point is worth. “Fifty points = ₹50 off” is clearer than a vague “tier multiplier” nobody can explain at 9 pm.
Put the balance on the bill or in a follow-up message after the visit. A program the guest cannot see is a program they will not chase a second visit for.
Staff permissions matter more than posters
If anyone can gift points or reverse a redeem without a name on the log, the program becomes a discount drawer. Role permissions and day-close review of loyalty lines stop that quietly.
Start simple: earn on, redeem on, one rate, one rupee value. Add birthday bonuses later — after the basic loop already brings people back on a Tuesday.
